What each family owes, and why. You will raise invoices: for a whole class at once, and for one child, with a discount.

Step by step

1Invoices

Open Finance, then the Invoices tab. Every bill the school has raised is here, with what is still owed.

2Generate for a class

At the start of term, press Generate for a class. It reads the class’s fee structure and makes a draft bill for every child in it, optional items included only if you tick them.

3Drafts first

The bills are drafts: nobody owes anything until you check them and issue them. We will close this, and make one bill by hand instead.

4One child

For a bill that is only for one child — extra lessons, say — press One child, and find them by name or admission number.

5What is charged

Describe what is being charged and the amount. Add another line for anything else. The subtotal adds up as you go.

6Create the draft

Press Create draft. The new draft appears at the top of the list — open it. Until it is issued, you can change it as much as you like.

7A discount

To reduce the bill — a scholarship, a bursary, a second child in the school — press Add a discount. Choose the kind, a percentage or a fixed amount, and write down why. The reason stays on the invoice.

8The summary

The summary shows the subtotal, the discount, and the total now owed — ten percent off fifteen thousand naira.

9Issue it

When the bill is right, press Issue it. From then it is owed, the lines are locked, and the family sees it in their portal, ready to pay.

10Delete the draft

This was only practice, so we delete the draft instead. A draft was never sent, so it simply disappears.
