Money in at the bursary, a receipt out. You will record a school-fee payment against a pupil’s invoice, print the receipt, and see how to undo a payment entered by mistake.

Step by step

1Finance

Open Finance from the menu. The overview shows what has been collected, the collection rate, and every family that still owes.

2Find the invoice

A parent has come to pay. Find their child’s invoice — here, from the list of balances still owed.

3The invoice

The invoice lists each fee, any discount, what has been paid so far, and what is still owing.

4Record a payment

Press Record a payment.

5Amount and method

The full balance is filled in for you. If the parent paid less, change it to the amount received — part payments are fine, and the rest stays owing. Then choose how it was paid: cash, a POS card payment, a bank transfer or a cheque.

6Reference

Add the reference — the POS slip, the teller number or the cheque number — so the payment can always be traced. The receipt number is made for you.

7Record it

Press Record it. The payment is added to the invoice, and the balance drops straight away.

8The receipt

Press Receipt to see the official receipt: the school, the amount in large figures, who paid, and the balance left — ready to print and hand over.

9Print

Press Print to print it, or Close to go back.

10Reversing a mistake

If a payment was entered in error, or a cheque bounces, reverse it with the arrow on its row, and say why. The invoice goes back to owing that amount — but the receipt is never deleted. It stays on the books, struck through and marked Reversed, so no payment can quietly disappear.
